How to use the Flextime tab in Report
Who can do this
Section titled “Who can do this”- Company Admins and Company Owners can accept/decline periods, edit balances, and add comments for all members.
- Company Members can view their own flextime data only.
- Requires the Flextime app to be activated in Settings & Apps.
- Available on the Team plan and above.
Opening the Flextime tab
Section titled “Opening the Flextime tab”- Select Report from the main navigation menu.
- Click the Flextime tab.
The tab is only visible when the Flextime app is active for at least one company you belong to.
Understanding the columns
Section titled “Understanding the columns”- Period — the date range for each flextime period (weekly or monthly, depending on company settings)
- Tasks — number of tasks worked during the period
- Agreed — contracted working hours based on the member’s flextime agreement
- Total — actual tracked hours
- Period balance — difference between Agreed and Total. Positive (green) = worked more than agreed. Negative (red) = worked less.
- Decision — the approval status: Pending, Accepted, or Declined
- Flextime bonus — the member’s accumulated flextime credit balance
Optional columns (when office tracking is enabled): Office time, Agreed office, Office %.
Accepting or declining a period
Section titled “Accepting or declining a period”When a period is Pending, the Decision column shows a green checkmark to Accept and a red X to Decline. Click either to set the status.
To change a decision after it is made, click the dropdown arrow next to the status chip and choose the opposite status, or select Cancel decision to revert to Pending.
Editing the period balance
Section titled “Editing the period balance”- Click the balance value in the Period balance column.
- Enter the new value in time format (for example,
+2:30:00or-1:00:00). - Click Save to apply, or Reset balance to remove the manual override and return to the calculated value.
Once a period is Accepted or Declined, the balance is locked (indicated by a lock icon) and cannot be edited unless the decision is cancelled first.
Adding a comment
Section titled “Adding a comment”- Click the comment icon (speech bubble) in the Decision column for a member’s period.
- Type your note (up to 50 characters).
- Click Save.
When a comment exists, the icon changes to a filled speech bubble. Hover over it to preview the comment text.
Viewing flextime history
Section titled “Viewing flextime history”Click the history icon in the Flextime bonus column to open the History modal for that member. It shows a chronological log of all flextime events: accepted/declined periods, balance changes, and calendar events (vacations, sick leave, absences).
Filters for the Flextime tab
Section titled “Filters for the Flextime tab”The Flextime tab requires a single company selected in the filter bar. The date range uses weekly or monthly presets matching the company’s flextime period type. The Member filter works as on other tabs. Export is not available on the Flextime tab.
Troubleshooting
Section titled “Troubleshooting”The Flextime tab is not visible
Section titled “The Flextime tab is not visible”The Flextime app must be activated for at least one company you belong to. Ask a Company Admin to activate Flextime in Settings & Apps.
The Decision buttons are grayed out
Section titled “The Decision buttons are grayed out”Only Company Admins and Company Owners can accept or decline flextime periods. Company Members see the Decision status but cannot change it.
The period balance shows incorrect values
Section titled “The period balance shows incorrect values”Confirm the member has an active flextime agreement covering the selected period. Also check that all time entries for the period have been saved. If a manual balance override exists, hover over the info icon next to the balance to see the breakdown.
Cannot edit the balance — lock icon visible
Section titled “Cannot edit the balance — lock icon visible”The period has already been Accepted or Declined. Cancel the decision first (click the dropdown arrow next to the status chip and select Cancel decision), then edit the balance and make a new decision.
