Task checklists

Checklists let you break a task into trackable sub-steps. You can create multiple checklist groups per task, drag items to reorder them, start a timer directly from a checklist item, and convert any item into its own standalone task.

  • All Company Members can add, edit, and complete checklist items on tasks they have access to.
  • The setting “The checklist must be completed to finish the task” is configurable by Company Owners and Company Admins in task settings.

Open a task and click Add checklist item below the description. Type the item and use these keyboard shortcuts:

  • Enter or Tab — create the next item
  • Shift+Tab — move back to the previous item
  • Backspace on an empty item — remove it

You can also paste a list of lines from any text source — Uku detects multi-line pastes and creates one checklist item per line automatically.

Click the + button to the left of an existing checklist title to add a new checklist group. Each group has its own title (click the title to rename it) and its own progress bar showing the percentage of completed items. Use multiple groups to track different workstreams within a single task.

Hover over a checklist item to reveal the drag handle on its left side. Drag the handle to reorder items within a group. The new order saves automatically when you release.

Hover over a checklist item to reveal the play button on its right side. Click it to start the task timer with the checklist item’s description pre-filled as the time entry comment. This is a fast way to track time against specific sub-steps without leaving the task view.

Click the three-dot menu on any checklist item and select Convert to a task. The item’s text becomes the new task’s title. The original checklist item is automatically checked off and annotated with your name and the current date, so there is a clear record of when and by whom it was converted.

Cannot mark the task as done — checklist items are blocking it

Your company has the setting “The checklist must be completed to finish the task” enabled. Complete all checklist items first, then mark the task done.

Checklist items disappeared after refreshing

Checklist changes save automatically. If items are missing, they may have been deleted by another user who edited the task concurrently. Check the task’s activity log for recent changes.

Hover over the checklist item to reveal the three-dot menu on the right. The option appears in that menu.

Timer started from checklist item is not tracking to this task

Verify the task is open and the timer started from within this task’s checklist. If another timer was already running, it was paused and the new timer is attached to this task.
