How to find and manage missed billing

  • Only Company Owners and Company Admins can access and use the Missed Billing report.
  • The Billing feature must be enabled for your company.

When you create, send, or mark an invoice as paid, the billing period on that invoice becomes locked. Any billable work that falls within a locked period but was not included on an invoice is considered missed billing.

Common causes:

  • Time entries logged after the invoice was already created and locked
  • Custom field quantities (for example, payslips or documents) added to a task mid-period
  • Work belonging to a team member whose entries were accidentally left out

The Missed Billing report compares all billable work against what was actually invoiced using the same calculation engine that generates invoices. If something is billable but not on any locked invoice in that period, it appears here.

Path: Navigate to /missed-billing in your Uku account URL — for example https://yourcompany.uku.app/missed-billing. There is currently no sidebar menu entry; the report is accessed directly by URL. Also: Client profile > Missed Billing tab (shows missed items for that client only).

At the top of the report, a row of summary cards provides an at-a-glance overview:

The Clients affected card only appears in the full report view, not when viewing a single client.

  • Date range — presets include This month, Last month, This quarter, Last quarter, This year, Last year. Default is last month. The range determines which locked periods are checked.
  • Client — filter to one or more specific clients.
  • Person — filter by team member to audit a specific person’s billing coverage.

When viewing missed billing from a client’s profile, the date range and client filters are not shown — all locked periods for that client are checked automatically.

Once you have identified missed work, reclaim it to a future period so it gets billed:

  1. Select rows by clicking the checkboxes next to the items you want to recover. A reclaim toolbar appears at the bottom showing how many items are selected.
  2. Set the target period — type the year and month in YYYY-MM format (for example “2026-04”) into the Target period field.
  3. Click “Reclaim to period” to begin.
  4. Review the result dialog — it shows how many new tasks were created and details each reclaimed item.

The reclaim creates new tasks titled [Reclaim] followed by the original task name. Time entries are moved (or split if only part of the tracked time was missed) to the reclaim task. Custom field quantities are decremented on the source task and set on the reclaim task. The reclaim task is dated to the first day of the target period so it appears in the correct billing cycle.

Reclaim tasks inherit the same client, project, topic, and assignees as the original task. The system prevents double-reclaiming — if you run the same reclaim again, already-reclaimed items are automatically skipped.

When accessed from a client’s profile:

  • The report is automatically filtered to that client.
  • The Clients affected summary card is hidden.
  • The date range filter is not shown — all locked periods for that client are checked.
  • All other functionality (selecting, reclaiming, reviewing results) works the same way. This is useful for a quick check during client reviews or when a client asks whether all their work has been billed.

Check the date range filter. The default is last month — if there are no locked invoices in that period, no missed items will appear. Try expanding to “Last quarter” or “This year” to see if items exist in other periods.

The estimated value is calculated from your active contracts. If a client has no active contract, or the contract does not cover the type of work missed, the estimated value column will be empty. The work is still recoverable — the system just cannot price it automatically.

The reclaim task must itself be included in a locked invoice before the original missed items disappear from the report. If the reclaim task has not yet been invoiced, the items may still appear until the target period’s invoice is locked.
