Calendar settings — what to show on your calendar

Your calendar can show much more than just tasks. By adjusting the settings in the left sidebar, you control exactly what appears — from public holidays and tax deadlines to colleagues’ birthdays and company events. Settings are personal and persist across sessions.

  • All team members can configure their own calendar settings.
  • Company Admins and Company Owners can create and edit company events (which appear on everyone’s calendar).
  • Vacation and remote work settings require the Workforce Management app to be active.
  1. Select Calendar from the main navigation menu.
  2. Look for the Settings panel at the bottom of the left sidebar.
  3. Click to expand the Settings panel.

For vacations, remote work, and birthdays, you can choose how multiple entries on the same day are displayed:

  • Group items — combines entries of the same type into a single summary line (for example, “3 away” instead of three separate vacation entries). Click the grouped line to see individual entries.
  • Don’t group — shows each entry individually. Click any entry to see full details including the person’s name, dates, and notes.

Toggle the grouping mode by clicking the arrow button next to each setting.

Events appear above the task list for each day with a distinct icon and color:

Click any event to see full details, including the person’s name, dates, linked client or project, and any notes.

Creating company events (Company Admins only)

Company events appear on every team member’s calendar. To create one:

  1. Click + Company event in the left sidebar.
  2. Select the Company.
  3. Enter a Name.
  4. If Flextime is active, choose whether the event is Info (informational only) or Holiday (reduces expected working hours for that day in the flextime calculation).
  5. Set the date(s). Check All day(s) for full-day events.
  6. Optionally add a Link and Notes.
  7. Click Save.

To edit or delete an existing company event, click on it in the calendar and use the edit option in the popup.

Vacations and remote work toggles are missing from Settings

These settings require the Workforce Management app to be activated. Ask a Company Admin to enable it in Settings & Apps.

Holidays are based on the country setting configured for your company. Contact a Company Admin to verify and update the country in company settings.

Birthdays must be enabled at the company level by a Company Admin. If the toggle is not visible in your calendar settings, this feature has not been enabled for your company.

A company event does not appear on the calendar

Confirm the Company events toggle is on in your calendar settings. If it was just created, refresh the page. Also verify the event is set to the correct company if you belong to multiple companies.
