How to create and reschedule tasks from the Calendar
The Calendar is more than a viewing tool — you can create tasks directly from it and reorganize your schedule by dragging tasks between days. This keeps your planning in one place without switching between views.
Who can do this
Section titled “Who can do this”- All team members can create tasks and reschedule their own tasks from the Calendar.
- Company Admins, Company Owners, and users with Client Admin permission can reschedule tasks for other team members.
Creating a task from the Calendar
Section titled “Creating a task from the Calendar”- Select Calendar from the main navigation menu.
- Navigate to the day you want the task to start on.
- Click on any empty area within that day column.
- The task creation dialog opens with the start date pre-filled to the day you clicked.
- Fill in the task details (title, client, topic, assignees, due date, etc.).
- Click Save.
The new task appears on the calendar immediately under the selected date.
Rescheduling a task by dragging
Section titled “Rescheduling a task by dragging”- Find the task you want to reschedule on the calendar.
- Click and hold the task.
- Drag it to the target day and release.
What happens next depends on the task’s due date:
- New date is before the due date (or no due date set) — the task’s start date updates immediately to the new day. No prompt.
- New date is after the due date — Uku shows a dialog asking whether to also postpone the due date. Choose Yes to move both the start date and due date to align with the new schedule, or Cancel to leave the task in its original position.
Reordering tasks within the same day
Section titled “Reordering tasks within the same day”You can also drag tasks up or down within the same day to change their priority order. The order you set persists when you return to the calendar.
Calendar view and filters for task management
Section titled “Calendar view and filters for task management”To see the right tasks in the calendar, use the filters in the left sidebar:
- Member — show tasks for yourself or other team members. Default is your own tasks.
- Client — filter by client to focus on one client’s schedule.
- Topic — filter by topic.
- Status — filter by task status (for example, show only Active tasks).
Save your preferred filter combination as a bookmark by clicking the save icon in the filter bar.
Troubleshooting
Section titled “Troubleshooting”Clicking a day does not open the task creation dialog
Section titled “Clicking a day does not open the task creation dialog”Make sure you are clicking on the empty area of the day, not on an existing task or event. Click between or below the task items in the day column.
Dragged task snaps back to its original position
Section titled “Dragged task snaps back to its original position”If you see the task return to where it started, you may have cancelled the dialog that appeared (for tasks where the new date would be after the due date). Try dragging again and confirm the dialog. Also verify you have permission to edit that task.
A task is not appearing in the Calendar after creation
Section titled “A task is not appearing in the Calendar after creation”Tasks appear on their scheduled start date. If you created a task with a start date that falls outside the current calendar view’s date range, navigate to that date to see it. Also confirm the Tasks toggle is on in the Calendar Settings panel.
Cannot drag a task to reschedule it
Section titled “Cannot drag a task to reschedule it”If a task is locked (for example, because it is a past-due task that cannot be moved, or because you lack permission to edit it), drag-and-drop may not work. Check the task’s status and your permissions — you need edit access to the task to reschedule it.
