Bulk-assign or reassign clients across team members

  • Company Owners — can assign and reassign any member across any clients.
  • Company Admins — can assign and reassign members across clients they have access to.
  • Company Members — cannot perform this bulk action.
  • Onboarding a new team member — assign them to their full client portfolio in one step instead of editing each client record individually.
  • Reorganising responsibilities — reassign a block of clients from one member to another, for example when workload is uneven or specialisations change.
  • Offboarding a leaving member — remove a departing team member from all their clients, with the option to assign a replacement at the same time.

Path: Clients → select clients → bulk actions menu → Edit members

  1. Go to Clients in the left sidebar.
  2. Use filters (Group, Status, Search) to narrow the client list to the set you want to update.
  3. Check the boxes next to each client you want to include. Use the header checkbox to select all visible clients at once.
  4. Open the bulk actions menu that appears at the bottom of the page and click Edit members.
  5. In the Edit members dialog, choose one of three actions (see below) and configure the details.
  6. Click Save.

Adds one member to every selected client. The member is granted access to each client’s data and tasks.

  • Select a member from the Select user dropdown.
  • Choose a Role: Admin (Client Admin — full rights on that client) or Member (Client Member — standard access).
  • Optionally check Set as primary user to make this member the default assignee on new tasks for these clients.
  • Optionally check Assign to incomplete tasks to add this member to all active and pending tasks on the selected clients.
  • Optionally check Assign to plan tasks to add this member to recurring tasks in the clients’ workflow templates.

Removes one member from every selected client. Use this when a member leaves or their responsibilities change and they should no longer see these clients’ data.

  • Select the member to remove from the Select user dropdown.
  • Optionally check Remove from new tasks to remove the member from all active tasks on the selected clients.
  • Optionally check Remove from plan tasks to remove the member from workflow template tasks on the selected clients.

Replaces one member with another across every selected client. The original member is removed and the new member is added in the same step.

  • In the Select user field, choose the member being replaced.
  • In the Assign user field, choose the member taking over.
  • Choose the Role for the new member.
  • Optionally check Set as primary user to make the new member the primary assignee on these clients.
  • Optionally check Assign to incomplete tasks to also reassign the new member on all active tasks.
  • Optionally check Assign to plan tasks to update the workflow template assignments as well.

When you assign a member to a client using this bulk action, you set their client-level permission — either Client Admin or Client Member. This is separate from their company-wide role (Company Admin or Company Member). A Company Member can hold Client Admin permission on specific clients, and vice versa. See Roles and permissions for the full explanation.

The Edit members action is not visible in the bulk actions menu

Make sure you have selected at least one client using the checkboxes. The bulk actions menu only appears when one or more clients are selected. If you do not see Edit members in the menu, confirm that you have Company Admin or Company Owner rights.

The member I want to assign does not appear in the dropdown

The dropdown shows active team members. If the member is not listed, check that their status is Active on the Members page. A member with Invited (pending) or Inactive status may not appear in the selection.

I assigned a member but they are still not seeing the client’s tasks

Being assigned to a client grants access to the client’s data but does not automatically assign the member to existing tasks. Use the Assign to incomplete tasks option when performing the bulk assignment, or manually assign the member inside individual tasks. Workflow template tasks can be updated with the Assign to plan tasks option.
