BI Analytics — Utilization Overview

Path: BI Analytics > Utilization & Capacity > Utilization Overview (default report when you click the category)

KPIWhat it tells you
**Hours vs target**Tracked / agreed × 100 — capacity check
**Time entry compliance**Are people logging hours promptly? (gated by opt-in panel)
**Production potential**Capacity ceiling at agreed hours × sales rate
**On-time rate**Of tasks with deadlines, % done on time
  1. Period = this week or last week
  2. Look at the gauge — is the team at capacity?
  3. Sort by Hours-vs-target asc — anyone idle
  4. Sort by Hours-vs-target desc — anyone overworked
  5. Sort by Utilization % asc — anyone with bench-heavy time
  6. Drill in for context — what’s pulling them off billable
  1. Period = last month
  2. Click the Overtime pattern chip (red)
  3. Members with tracked > 110% of available hours surface
  4. Drill in to see what they worked on, then rebalance workload

  2. Period = current month, sort by Time entry compliance asc
  3. Members at the bottom haven’t been logging hours — friendly reminder first, escalate for chronic cases

Gauge says 95% but member columns show lower utilization

Different metrics. Gauge is tracked/agreed; column is billable/tracked. See Gauges explained — this is the most common confusion in the product.

The opt-in panel is off (default), or the member has no agreement defining expected days. Enable it at Settings & Apps > BI Analytics > Setup.

Tracked/agreed loses meaning at single-client level. The gauge is hidden deliberately. See Gauges explained.
